Things to Keep in Mind When Booking Live Entertainment

Live entertainment adds a unique quality to an event, a memorable experience for guests. Whether it’s a band, solo act, or other type of performance artist you’re seeking to hire, there are basic things to keep in mind when going through the booking process.

Determine What You Need

Who is the audience your live entertainment will be playing to? Think about if they would want to see a cover band or original band. Would they prefer a solo artist or a performance artist entirely different from those who do music?

Additionally, what is the vibe of your event? You may want a live act that can infuse energy into it, or one that provides ambiance in a much calmer way. 

Do Your Research

First and foremost, look into who you are considering. No matter what type of band, artist, or singers for hire that you want for your event, you are going to want to experience them live.

Make sure they are an act that plays in your city. Take a look at their website where you may find video clips, references, upcoming events, and even contact information for when you are ready to reach out. 

Check References

Perhaps you didn’t get the chance to see them live. Ask the entertainer for past clients who have hosted events similar to yours to ensure they have experience working in a similar venue or with a similar audience.

Be Specific With Your Request

Once you determine the live entertainment that is right for you, outline what your needs are prior to reaching out to them. The more details you can provide, the greater chance you have at receiving a reply as well as an accurate quote for their services.

This can include not only date, place, and time, but any specifics you are looking for from their performance, how long you want them to play, and any requirements the venue may ask of them.

Ask About Equipment Setup

Some acts need a full stage setup, whereas others might require a microphone and that’s it. Ask the entertainer what they need or if they will provide their own equipment. Once you know, check with the venue to see if this can be accommodated for your event.

For larger acts and events you may want to work with a production company for all your technical needs.

Consider Availability

Most professional acts can book up from several months to a year in advance, so be sure to reach out as soon as possible. Also, ask to put down a deposit to secure them for your specific date.

Draw Up A Contract

You will want a document that contains all the details of your event and the performance so that expectations are clearly outlined. Take note of details such as special requests; event date, time, and place; points of contact; length of performance; and anything that may need to be done prior to the actual event. A contract will protect both you and the entertainer.
